Indoor Air Quality in Apartments: Why It Drives Retention
Indoor air quality affects tenant retention because it is the part of a building residents experience continuously and cannot escape. People spend about 90 percent of their time indoors, and the EPA reports that indoor concentrations of some pollutants often run 2 to 5 times higher than typical outdoor concentrations. When a unit smells musty, dust blows out of the registers, or a neighbor’s cooking arrives before the neighbor does, residents do not file it as an air quality issue. They file it as evidence the building is not well managed.
Worth saying up front: we are not going to hand you a statistic claiming clean air lifts renewals by some tidy percentage. No one has a defensible number for that, and vendors who quote one made it up. What is defensible is the chain of cause and effect, and the fact that you already know what a turnover costs your property.
Why the air in an apartment is a harder problem than a house
Multifamily buildings concentrate every indoor air variable and then connect them. The EPA notes that indoor concentrations of some pollutants have risen in recent decades because of energy-efficient construction that lacks sufficient mechanical ventilation, along with heavier use of synthetic building materials, furnishings, personal care products, and household cleaners. A tighter building envelope is good for the utility bill and unforgiving about anything generated inside.
Then add shared pathways. Secondhand smoke has been documented moving between units in multiunit housing through windows, ventilation systems, cracks, and electrical outlets. HUD found the issue serious enough to require smoke-free policies across public housing, effective July 30, 2018. A study of residents at five New York public housing authorities found a 77 percent decrease in the odds of smelling smoke within developments after the rule, and even then about one in five residents still reported smelling smoke inside their apartment at least a few times a week.
The practical takeaway is that unit-level complaints are frequently building-level conditions. One resident reporting an odor is rarely one resident’s problem.
The four complaints that actually cost you renewals
In East Metro buildings, air quality reaches the office in four forms:
- Odor transfer. Cooking, smoke, and pet odor moving through corridors, shared ducts, plumbing chases, and undercut doors.
- Visible dust. Streaking on supply register faces, dust marking on carpet at baseboards, and grit on windowsills days after a clean.
- Musty smells. Almost always moisture. A past leak that dried slowly, a bath fan that vents into a soffit instead of outside, or summer humidity in a lower level.
- Stuffiness in corridors and amenity rooms. Interior common areas with no operable windows and a ventilation system nobody has verified since turnover.
None of these are subjective. Each has a physical cause a maintenance walk can find. The reason they turn into renewal risk is repetition: a resident who reports the same smell three times and gets an air freshener each time has learned something about how the building is run.
Minnesota stretches this into a nine-month season
From October through May, East Metro buildings run closed. Windows stay shut, mechanical ventilation becomes the only air exchange, and everything generated indoors stays indoors longer. That is also the stretch when residents are home the most.
Two Minnesota specifics deserve a place in your capital planning:
- Radon. The Minnesota Department of Health reports that roughly 2 in 5 Minnesota homes tested have radon levels above the EPA action level of 4 pCi/L, and that Minnesota’s average is more than three times the national average. Ground-contact units, garden levels, and basement amenity rooms are the places to test.
- Humidity swing. Heating season drives indoor air very dry, then summer brings the opposite problem in lower levels and slab-adjacent units. Both ends produce complaints, and only one of them is cosmetic.
Winter also concentrates the soil load that feeds dust complaints. Salt, sand, and meltwater come through the entries all season, which is why we treat winter common area cleaning as an air quality task and not just an appearance one.
What actually moves the needle
Ordered by return on effort, not by what is easiest to sell:
- Fix moisture first. The EPA advises drying wet materials within 24 to 48 hours, because in most cases mold will not grow if you do, and keeping indoor relative humidity below 60 percent, ideally 30 to 50 percent. Every hour past that window makes the job bigger.
- Verify the ventilation you already have. Bath fans that discharge into soffits or attics, corridor make-up air units running on a schedule nobody set, and dryer exhaust with blocked terminations are common findings and cheap corrections.
- Control the soil at the door. Walk-off matting, a real entry cleaning cadence in winter, and hard-surface care at the entries reduce what ever reaches the air handler.
- Keep filtration on a schedule with a paper trail. Filters changed on a documented interval, not when someone remembers.
- Clean carpet and soft surfaces on a set frequency. Soft surfaces hold what settles out of the air, which is why common area cleaning frequency belongs in the budget rather than in the complaint queue.
- Clean ducts when there is a reason, not on a calendar. The EPA names three conditions: substantial visible mold inside hard surface ducts or components, infestation by rodents or insects, and ducts clogged with excessive dust and debris where particles are released into the unit. Inspect, document, then act.
Note the order. Duct cleaning is last on this list on purpose. It is the right call when one of those conditions exists, and it is an expensive way to avoid fixing a humidity problem when they do not.
Make it a documented program, not a response
The buildings that keep residents are not the ones with perfect air. They are the ones where a complaint produces an inspection, a finding, a fix, and a record. That record is also what protects you if a resident or an insurer asks later what the property knew and when.
